How COMPASS CREW collects, uses, transfers, stores and protects personal data.

The Company carries out mediation in employment abroad under a licence issued by the Ministry of Social Policy of Ukraine, Series AG No. 507892, issued on 21 April 2011 under Decision No. 142 dated 20 April 2011; the licence is of unlimited duration.
1. General provisions
This Privacy Policy explains how COMPASS CREW LTD / LLC “COMPASS CREW, LTD” (Ukrainian company code 20955043), referred to as the “Company”, collects, uses, checks, stores, transfers and protects personal data when you use compass-crew.com, submit a CV or contact us about a vacancy or business cooperation.
The Company is the data controller. Registered address: 140A Liustdorfska Road, Odesa, Odesa Region, 65000, Ukraine. Privacy contact: office@compass-crew.com.
The Policy applies to website visitors, candidates, seafarers, representatives of shipowners, vessel operators, maritime employers, partners and service providers.
2. Processing principles

- confidentiality, integrity and controlled access.
3. Data we may collect
The scope depends on the interaction. We do not ask for information that is not reasonably required for the relevant request.
- identification data: name, date of birth, nationality and photograph;
- contact data: telephone, email, country and city, messenger details;
- professional data: rank, education, qualifications, sea service, vessel types, previous contracts, references, English level and availability;
- document data: passports, seaman’s identity document, seaman’s book, certificates of competency, endorsements, training certificates, visas and other vacancy-related documents;
- limited medical fitness data, such as the existence, validity and fitness conclusion of a medical certificate;
- travel data required for an agreed crew change, including route, dates, airport and visa status;
- correspondence, interview results, application status and interaction history;
- technical data such as IP address, browser, device, visited pages, date and time, cookies and security logs.
4. Sources of data
Data may be obtained directly from you, through website forms, email, telephone or interviews, from an employer or authorised partner, professional references, official registers and lawful public sources.
If you provide another person’s data, you confirm that you have a lawful basis to do so.
5. Purposes
- reviewing CVs, forms and applications;
- matching candidates with vacancies and assessing suitability;
- checking qualifications, experience, documents and references;
- organising interviews, testing and employer communication;
- presenting a candidate to an employer, shipowner or vessel operator;
- coordinating agreed contract, travel or crew-change activities;
- responding to shipowner and partner requests;
- performing contracts, legal duties, accounting and tax obligations;
- protecting the website, preventing fraud and defending legal rights;
- analysing website performance and creating anonymised statistics.
6. Legal bases
Depending on the circumstances, processing is based on consent, steps requested before entering a contract, contract performance, a legal obligation, the legitimate interests of the Company or a third party, vital interests, or another basis recognised by applicable law.
Consent may be withdrawn. Withdrawal does not affect prior lawful processing and does not stop processing supported by another legal basis.
7. CVs and professional profiles
Submitting a CV does not guarantee employment, an interview, employer approval or joining a particular vessel. A profile may be considered for current and future requests.
Candidates should keep contact, rank, experience, availability and document validity information current. We may stop considering a profile where false data or forged documents are identified.
8. Sensitive data
Health information is processed only to the extent needed to assess professional fitness, meet legal requirements or on the basis of specific consent. Do not send detailed diagnoses unless reasonably requested.
Do not submit passwords, PINs, CVV/CVC codes, one-time banking codes, digital keys or card photographs.
9. Recipients
For the stated purposes, data may be accessed by authorised Company staff, prospective employers, shipowners, vessel operators and technical managers, crewing partners, port agents, travel, visa, medical and training providers, IT, hosting, email and CRM suppliers, lawyers, auditors, banks and public authorities where required by law.
Only the information reasonably necessary for the recipient’s task is shared.
10. International transfers
Maritime employment is international, so data may be transferred outside Ukraine. The level of legal protection in another country may differ.
We seek to confirm the necessity of a transfer, minimise the data and apply contractual, organisational and technical safeguards required by applicable law.
11. Retention
Data is retained only as long as needed for the purpose, contract performance, legal obligations and protection of rights.
- CVs and professional profiles: up to five years after the last meaningful contact or update;
- specific selection records: during the selection and up to three years afterwards;
- correspondence and enquiries: up to three years;
- contract, accounting and tax records: for statutory periods;
- security logs: normally up to twelve months;
- backups: until scheduled overwriting.
12. Security
Measures may include access controls, passwords, multifactor authentication, encrypted transmission, backups, logging, malware and network protection, staff instruction and confidentiality obligations.
No system is absolutely secure. Users should also protect their email, devices and document-sharing channels.
13. Your rights
- to receive information about sources, purposes, processing and recipients;
- to access personal data;
- to request correction of inaccurate or outdated data;
- to request deletion or restriction where lawful conditions are met;
- to object to processing based on legitimate interests;
- to withdraw consent;
- to complain to a competent authority or seek judicial protection.
14. Requests
Send a request to office@compass-crew.com with the subject “Personal data”. Include your name, contact details, the request and information that helps us locate the profile.
We may verify identity. Some information may be retained despite a deletion request when required by law, needed as evidence or necessary to defend rights.
15. Cookies and third-party services
The website may use essential cookies for operation, security and language preferences. Analytics or marketing cookies are used only when the relevant tools are actually connected and a valid legal basis exists.
The vacancies page contains an embedded external catalogue. Its provider may process technical data under its own rules. See the Cookie Policy.
16. Children
The website and maritime employment services are not intended for independent use by young children. Where a procedure requires the approval of a legal representative, data is processed only after appropriate confirmation.
17. Fraud prevention
Check the domain, sender address, telephone and authority of a representative. Detailed verification rules are available on the Anti-fraud page. Suspected impersonation may be reported to office@compass-crew.com.
18. Changes and contact
This Policy may be updated when laws, business operations, website functions or providers change. The current version is published on this page.
